How do I send payment links in my broadcast messages?

Get a recipient list from your PMS

  • Select and export the relevant data from your PMS

  • There are some mandatory fields that we will need in the data exported

  • Phone number (mobile number, we support most formats including spaces and with and without country codes but would recommend +447704143000)

  • Client ID (this is very important as it dictates which client account at the clinic the money will be sent to)

  • Client name (e.g. First name, Last name. It would be worth checking some real PMS exports to see what you get)

  • Amount to Pay (this is the pounds sterling and pence amount to pay without a £ symbol, e.g. 205.50)

  • Description (this appears on the payment page. Could be customised for each client in the .csv or left the same for everyone in that file e.g. the words ‘Outstanding balance’)

  • Just as a sense check, please ensure that client IDs are correct for a few spot checked rows before proceeding. This is because payments are associated with the client IDs provided in the CSV

  • Open the file, go to ‘File’ then ‘Save as’ and export to .csv (comma delimited file). It is important to give the file a descriptive name and date so that you don’t select the wrong file later

In Digital Practice

  • Log into Digital Practice

  • Go to the 'Create' button in the top toolbar and select 'Broadcast'

  • Select WhatsApp

  • Enter a name for the broadcast. This is not seen by the client, but should be a clear description so the clinic knows what it is in the sent list

  • Choose a date and a time for the broadcast to be sent

  • Choose the template to be sent (this must be a broadcast with payment template)

  • Click the ‘Next step’ button

  • Under ‘Import a CSV of recipients’, click the ‘Browse’ button and navigate to your .csv

  • Tick the ‘CSV includes column headers in first row’ if your spreadsheet had column rows in the first row

  • Select to confirm that the contacts are existing active clients, the contact details are current, none have opted-out of receiving marketing messages and that marketing relates to your clinics own services not a third party.

  • Click the ‘Next step’ button

  • Under ‘Map the imported data for each field’ select the correct column in the file Client name, Phone number, Client ID, Description, Amount to Pay using the drop-downs

  • You will see a preview of the message on the right hand side of the screen

  • Click the ‘Schedule’ button

  • You will see a success message!

  • If you go to the ‘Broadcasts’ navigation option on the left of the screen you can see the history of what was sent along with any that have been scheduled

  • Click the three dots menu on the far right to export a delivery report. Note that SMS will always say ‘Read' = no as we cannot get a status for these.
