Where activated for a clinic, broadcast WhatsApp or SMS messages can be sent to multiple clients at the same time using an uploaded .csv file. Optionally choose to add an image, a video or a .pdf from the media library.

  1. First your system admin must create a broadcast template or broadcast with payment template, read how here. Make sure you name each template correctly so that you can identify which one to input to the broadcast set up.

  2. Once the correct templates for the broadcast message are saved, click on the 'Create' button in the top toolbar in Digital Practice then 'Broadcast'

3. Complete the required fields:

  • Enter a descriptive name

  • Set a send date and time

  • Select the required template

  • If the template requires media, select this from the media library

  • Click 'Next Step'

4. On the next screen:

  • Import your .csv of contacts - click browse to find the exported data from your PMS

  • Select if the first row of your file has headings in

  • Select to confirm that the contacts are existing active clients, the contact details are current, none have opted-out of receiving marketing messages and that marketing relates to your clinics own services not a third party.

  • Next click next step

Example data (spreadsheets must be saved as .csv)

Phone numbers must be mobile numbers. Most formats are supported e.g. with and without a leading country code, +, spaces, dashes. Duplicates are automatically removed too.

5. On the next screen, you map the data to the placeholders in your template

  • Click the selector on the right, opposite each field and select the correct column

Select 'Fixed value' for something that is not in the data and can be the same for all messages

Click 'Schedule' to queue the broadcast for sending or 'Save draft' to return to it later

6. When selecting 'Schedule', you will see a final confirmation screen, asking you to confirm you are happy to proceed to send or go back if further changes are required.

7. To check on the status of a Broadcast, click on 'Broadcasts' in the main navigation on the left:

This will tell you how many of the messages have been sent.

8. The WhatsApp or SMS message is received on the client's phone without a required consent

  • The client can choose to reply as normal

Please note

Broadcast messages are not shown on the Day List to keep this clear for other live queries. Any replies will appear there as normal.

Broadcasts sent to a large number of recipients will be required to be split over several days to ensure reception do not receive too many replies all at once.

The client can choose to opt-out of future Broadcast messages by replying STOP or UNSUBSCRIBE. If they change their mind, they can message in START or RESUBSCRIBE.
